Metadata Groups

Bundle your Tag Categories and Custom Fields into focused groups so each file shows only the metadata that matters.

Metadata Groups let you bundle related Tag Categories and Custom Fields together so only the relevant fields appear when uploading and viewing a file.

Tag Categories and Custom Fields capture the metadata that matters to your team- things like Plant Type, Season, Client, Location, or Photographer Credit. But not every file needs every field. Metadata Groups let you assign only the categories that apply, keeping your single-file view clean and your metadata focused.

You can create Metadata Groups from within the Tag Categories or Custom Fields area of your workspace settings.

Creating Metadata Groups

Click your user icon in the bottom-left corner of your workspace and choose Settings. Then navigate to Tag Categories or Custom Fields to add a Group.

From the Metadata Group modal, you can:

  • Name your Group: make it descriptive of the Tag Categories and/or Custom Fields you are adding, so anyone will easily know what to pick when uploading.

  • Assign Tag Categories: Select the Categories that should display when this Metadata Group is selected

  • Assign Custom Fields: Select the Fields that should display when this Metadata Group is selected

If you don't have any Tag Categories or Custom Fields created yet, don't worry, you can add them later. Groups can be assigned when creating either type of metadata.

Tag Categories and Custom Fields can live across multiple Metadata Groups, or no Groups at all. Individual settings, such as making the Category or Field required, will carry through to all Groups.

You can re-order your Tag Categories or Custom Fields within each Metadata Group by dragging and dropping the row to the desired location within the Group.

You can also make a Metadata Group the Default Group by clicking the check icon on the right side of your Group. This will set all uploads to this Metadata Group as the default. If you don't want any Group to be the default, you can set the No Group assigned section as your default.

Metadata Groups created in the Tag Category page will also appear on the Custom Fields page, but will only show the Custom Fields associated with those Groups.

Any Tag Categories or Custom Fields that do NOT belong to a Metadata Group will always be displayed in the upload modal and in the single file view, regardless of the selected Group. If you don't want or need those fields, you can create an additional Group or delete them.

Once you have Metadata Groups created, you can select them in the upload modal to display the correct Tag Categories and/or Custom Fields.

The Tag Categories and Custom Fields that belong to the selected Metadata Group will now be available to add your metadata to.

If you selected a Metadata Group during your upload, your single-file view will show only the Tag Categories and Custom Fields associated with that Group.

Changing Metadata Groups

If your files have the wrong Tag Categories or Groups displayed, you can change the Metadata Group that was selected.

Select the file or files that you want to change and click Edit from the action bar.

From the edit modal, you can select an alternative Metadata Group, or no group at all.

Updating files with your new Metadata Groups

If you create Metadata Groups after adding metadata to your Custom Fields and Tag Categories on your files, you can edit your files to assign the groups.

Once you edit a file or a group of files, and you assign a group, any other metadata assigned to that file that is outside of that group will be cleared from your file - so make sure you are assigning the correct group!
