You can use external upload pages to receive files from people without adding them to your Stockpress workspace. Each external upload page can be associated with a Collection, and all uploaded files will appear in that Collection automatically.
Note: External upload pages are available to accounts in the Pro and Premium Stockpress tiers and can be created by admin roles, manager roles or enabled for custom roles.
Create an external upload page
Click on the external uploads navigation item in your sidebar.
Click the +Create External Upload page button.
From the External Upload modal, you can:
Customize the URL. This is what the recipients will see and where they will upload files.
Add a page title. This can help you keep track of your pages and will also be displayed on this external upload page.
Add a description. Descriptions will be visible on your external upload page. This can be used to provide recipients with details about what you want them to upload.
Select a Collection from your workspace or create a new Collection. This is where all files from this external upload page will be uploaded.
Assign a user. You can optionally select a workspace user to whom the files will be uploaded. If you leave this blank, the files will be assigned to you.
Copy the URL and click save to create your external page.
External upload page settings
You can add additional settings to your external upload page by clicking the settings icon in the top right of the modal.
From the external upload settings area, you can:
Add an expiration date. When the page expires, it will no longer be available for external users to upload to.
Require a workspace login. In some cases, you might want workspace users to use external upload pages. Toggling this setting will require them to be logged into your workspace to access the external page.
Require a password. You can set an optional password that recipients must enter to access the page.
Require an email. You can require an email address to be entered to access the external upload page. All emails will be stored in the details section of your external upload page.
Require a name. You can require a name to be entered to access the external upload page. All names will be stored in the details section of your external upload page.
Click back and save your upload page to apply additional settings.
Uploading files to an external upload page
Once your external upload page has been created, you can share the URL.
Depending on the external page settings, upload page recipients can add files immediately or enter details to continue.
Files can be dragged and dropped into the external upload page to start an upload. If you are uploading a large number of files, you can toggle the save and close after upload toggle to automatically upload all files to the workspace when they are finished.
If save and close after upload is not toggled on, you can continue to add or remove files from the upload page before clicking save to complete the upload.
When the upload has been saved, the files will be immediately available in your workspace in the selected Collection. If you have metadata mapping enabled in your workspace and the files contain metadata, it will automatically be applied.
Edit an external upload page
Once an external upload page has been created, you can edit it at any time from your external upload pages list.
To edit, click the three-dot icon on the right-hand side of the external upload page and select edit.
This will bring up the same modal you used to create the external page, and you can make any changes that you'd like.
Track uploads on an external upload page
To track uploads from your external users, click the three-dot icon on the right-hand side of the external upload page and select details.
From the details page, you will be able to track each upload to the page and view the files by clicking the view icon.
Delete an external upload page
To delete an external upload page, click the three-dot icon on the right side of the page and select delete.
NOTE: Deleting an external upload page will delete all data associated with it, but it will NOT delete any of the files uploaded from that page.
If you want to make the external upload page inactive while maintaining the date, edit the upload page and add an expiration date.
