Creating share templates

Learn how to create and save reusable share templates for your entire workspace or personal use.

Share templates are a great way to create reusable templates with varying settings. This allows you to easily share files with the permissions you need without having to recreate them every time.

Share templates are available in the Pro and Premium tiers and can be activated by Admin or Manager roles.

Enabling share templates

To enable share templates, go to your workspace settings, click on the share settings tab, and toggle on Enable share templates.

This will turn on share templates for all users in your workspace.

Tip: If you don't want to enable share templates for all your users, you can restrict access by creating a custom role. You can learn more about custom roles here.

There are two types of share templates available in the Access & Share modal:

1. User templates:

User templates are private and available only to the user who makes them. They can be edited or deleted under each user's profile settings.

2. Workspace templates:

Workspace templates are visible to all workspace users and can be edited or deleted in the share settings tab in the workspace settings.

Creating a share template

To create a share template, first create a share link to any Collection, file, or group of files. After setting a link, the Select template dropdown will appear. Your own personal share settings will always be the default selection. Click the Create new template button to the right of the dropdown or from the top of the advanced settings area.

You will be automatically taken to the link settings area, where you can name your new template and select its destination. Remember, selecting user settings will make it only available to you.

Next, select your settings, including a custom logo, button, and link colors!

Click the create new template button to save your template. It will now be selected in your template dropdown and be available to select every time you create a share link.

To edit or delete your user share template, head to your user profile and click the share settings tab.

When creating a share link template, select workspace settings in the destination dropdown to make the template available to all workspace users.

Workspace templates can be edited or deleted in the share settings tab in the workspace settings. Only admins and managers can create or edit workspace share templates by default. You can make a custom role to enable workspace share template editing for other users. Learn more about custom roles here.
