Smart Collections allow you to create Collections with specific search and filter criteria, and populate those Collections dynamically with files already in your workspace and new files added.
Creating a Smart Collection
Smart Collections can be made in the All Collections area of your workspace or as any sub-Collection.
From the Create a Collection modal, toggle on 'Smart'. This will enable the Select filters button and allow you to select your Smart Collection criteria.
In the modal, you can add:
A search term (and select what fields to search; file names, file descriptions, or tags.
Any available workspace filter, such as file status, orientation, owner, custom tag, and more.
Set the visibility of your Smart Collection. Open, Restricted, or inheriting the parent Collection visibility (if applicable)
You can add any combination of search terms and filters. The number of available files currently in your workspace that match will be listed at the top of the Select Filters modal.
Once saved, your Collection will populate automatically based on your selection.
All Smart Collections will have the bolt icon on the Collection thumbnail.
From inside any Smart Collection, you can hover to view the applied filters and adjust by clicking the Smart Filter pill.
Creating a Smart Collection from search results
Smart Collections can also be created after running a search and filter.
From your search results, click the Smart Collections bolt icon at the top of your results.
Give your Smart Collection a name, and choose what Collection it should live in (if you'd like to add it as a My Collection or sub-Collection somewhere in your workspace).
Smart Collections can live as sub-Collections anywhere in your workspace. Plus, you can give access to users and Teams just like a regular Collection.
Sharing Smart Collections
You can share Smart Collections with almost all of the same criteria as a regular Collection. The only restriction is that Smart Collections MUST be updatable. This is because Smart Collections are dynamically created and are updatable by nature.
If you are sharing a regular Collection with a Smart Collection in it, the link must also be updatable.
