Creating and deleting Collections

Collections help organize groups of common files without duplicating them.

Collections are like invisible folders. In your Stockpress workspace, files can live across multiple Collections without being duplicated. Collections are simply a way to ‘wrap’ files and organize your workspace. Not all files in your Stockpress workspace need to be assigned to a Collection, but if files are similar, Collections can help you find them quickly.

Creating a Collection

To create a Collection, click the Create new Collection button at the top right corner of any Collection. Collections can also live inside any Parent Collection.

This will bring up the Create new Collection modal.

In this modal, you can do the following:

  1. Name your Collection

  2. Check your parent Collection

  3. Select your visibility

  4. Additional permissions

  1. Name your Collection: Give your Collection a name. Be descriptive, as this name is searchable in the visual search.

  2. Check your parent Collection: See visually where your Collection lives in your Collection tree.

  3. Select your visibility: Based on your workspace settings, your default will be Open or Restricted.

    1. Open Collections are visible to ALL workspace users.

    2. Restricted Collections are visible to only those you give access to. You can keep the Collection visible only to you, or, if your Collection is inside another Collection, you can copy the visibility settings of the parent Collection to your new Collection.

  4. Check permissions:

    1. Allow users with access to add/remove files: By default, users with access to this Collection can add and/or remove files from this Collection. If you don't want them to be able to do this, uncheck this box.

    2. Feature Collection in sidebar: Check this box if you'd like this new Collection to appear in the features area of your sidebar. It will be visible to only those who have access to it.

Click save, and your new Collection will be created.

You can now click into your new Collection and add files by uploading or adding them from files already in your workspace. OR, you can create another Collection inside this Collection by following the same steps above.

Deleting Collections

By default, deleting a Collection in Stockpress does NOT delete the files inside. That's because one file can live in multiple places in your workspace. You can, however, choose to delete files while deleting a Collection - but if any files live in multiple Collections, it will delete them from ALL the Collections they are in.

To delete a Collection, click the three-dot icon and select Delete.

Before the Collection is deleted, you will get a modal for confirmation. When a Collection is deleted, all sub-Collections are also deleted.

If you want to delete the files inside, we'll tell you how many files can be deleted. Toggle on also delete files and click the Delete button. We'll remind you one last time that if a file lives in multiple Collections, they will be deleted from those Collections as well.
